Growth Strategy #1: Time and Motion Study - improving how you spend time

Around 2010, I began learning about project management strategies to assist me in getting better at managing multiple projects.  I also found the information useful for the corporate clients I was working with.

Around 2010, I began learning about project management strategies to assist me in getting better at managing multiple projects.  I also found the information useful for the corporate clients I was working with.

One of the strategies I practised was a Time and Motion Study, as I desired to work more efficiently and effectively.  It helped me to assess how to allocate time to different tasks and projects, identify time-wasting activities, and implement strategies to improve my time management and productivity.

I believe we can apply the ideas of this technique to personal growth, so here is my attempt to make it applicable.  Here goes!

What is a Time and Motion Study (TMS)?

This technique is used in industrial engineering to analyse and improve work processes, as it involves observing and measuring the time required to perform specific tasks or activities and analysing the motions and movements involved.

How can a TMS be used for personal growth?

One of the ways that I believe it can be used is to help improve what we do, reduce time wasted, and enhance overall efficiency in various areas of life.   It can be applied to various areas of life, such as:

  • Career and Business. Analysing how you spend your time at work, identifying tasks that contribute most to your professional growth, and streamlining your work routines to be more efficient and effective.

  • Relationships.  Assessing the time and energy invested in different relationships, recognising which ones are nurturing and supportive, and making adjustments to spend more quality time with loved ones.

  • Health and Fitness. Tracking your daily activities related to exercise, nutrition, and self-care, identifying habits that contribute to your well-being, and optimising your routines to prioritise health and fitness.

  • Learning and Education. Measuring time spent on self-improvement activities like reading, attending workshops, or taking online courses, and adjusting your learning approach based on the effectiveness of each method.

  • Hobbies and Creative Pursuits.  Evaluating the time dedicated to hobbies and creative endeavours, identifying activities that bring you joy and fulfilment, and allocating more time for creative expression.

  • Finances and Budgeting. Tracking your spending habits, assessing expenses that align with your financial goals, and optimising your budget to support financial growth and stability.

Here are 7 ways to adapt time and motion studies to the areas of life above:

  1. Clearly define what you want to achieve in your personal growth journey. This could include areas like self-improvement, fitness, or learning new skills.

  2. Analyse your current activities by taking a step back to examine how you spend your time daily. Identify tasks, habits, and routines that align with your goals.

  3. Measure and track your time to track how much time you spend on various things. Use tools like a time log or apps as this data will help you understand how you allocate your time and time-wasting activities.

  4. Assess the effectiveness to reflect on the impact of what you do. Determine which tasks or habits contribute positively to your personal growth and which ones may be holding you back. Consider the emotions, energy levels, and overall satisfaction associated with different activities.

  5. Streamline your routines to apply the principles of efficiency and optimisation to your daily routines. Identify opportunities to eliminate or delegate non-essential tasks. Look for ways to simplify or automate certain processes, freeing up time and energy for activities that contribute to your personal growth.

  6. Prioritise and allocate time wisely by creating a schedule or routine and make conscious choices about how you spend your time and allocate it effectively.

  7. Monitor progress and make adjustments by regularly assessing your progress towards your personal growth goals. Keep track of the changes you've implemented and evaluate their effectiveness. Adjust your routines and activities as needed to stay on track and adapt to new circumstances.

Analysing activities is crucial in utilising the concept and I have done this by taking time for self-reflection and introspection. Being honest with myself helps me identify areas for improvement.

I ask myself questions such as:

  • What are the activities I engage in daily?

  • How do these activities align with my personal values, goals, and aspirations

  • Are there any habits or routines that are hindering my personal growth?

I conduct a thorough review of how I spend my time, recording the duration of various activities throughout my day, and being as detailed as possible.  I include everything from work-related tasks to leisure activities and downtime.

Once I have collected data on my daily activities, I look for patterns and trends.

  • Are there particular activities that consistently consume a significant amount of my time?

  • Are there any time-wasting activities that provide little value or enjoyment?

Cons of conducting a TMS

While utilising the concept can be beneficial, there are also some potential drawbacks to consider:

Overemphasis on efficiency. Focusing too much on optimising time allocation and streamlining routines may lead to an overemphasis on efficiency, potentially neglecting the importance of spontaneity, creativity, and downtime.

Personal growth involves exploration, self-discovery, and allowing oneself to embrace moments of relaxation and reflection. Rigidly adhering to a strictly optimised schedule may hinder the ability to embrace opportunities for personal growth that arise spontaneously.

Neglecting qualitative aspects. While time tracking and analysis offer quantitative insights into time allocation, they may overlook qualitative aspects of personal growth. Emotions, personal connections, and meaningful experiences are essential components of growth and well-being. Solely relying on data-driven decisions may undervalue the emotional and subjective elements that contribute to personal development.

To conclude, by assessing the impact and alignment of activities with personal goals, individuals can streamline routines, prioritize meaningful tasks, and cultivate positive habits.

Though beneficial, the strategy cautions against overemphasis on efficiency, neglecting qualitative aspects of growth, and setting unrealistic expectations. It can be applied to various life areas, such as career, relationships, health, learning, and finances, fostering self-awareness, productivity, and fulfilment on the path of personal growth.
